Overview

Selling tickets by bank transfer, spreadsheet or cash on the door works for a village quiz. However, it breaks down once hundreds of people want a seat. This guide, updated in October 2026, shows UK organisers how to set up an online ticketing system in eight steps.

For each step, you get a UK-specific decision, such as all-in pricing, Temporary Event Notices and Martyn’s Law. As a result, you launch with fewer surprises and fewer refunds. In addition, you keep control of your buyer data from day one.

Ticmint has seen this process work at scale. The platform powers 1,600+ events and 820K+ fans across 138 countries, with $41M+ in transactions (Ticmint, 2026).

What Is an Online Ticketing System?

An online ticketing system is software that lets organisers create events, sell tickets on a web page, take payment and check attendees in. It issues each buyer a digital ticket, usually with a QR code, and records every sale in one dashboard. Ticmint adds white-label branding and mobile scanning.

The table below shows what changes when you move from manual sales to an online ticketing system.

Why UK Organisers Need an Online Ticketing System in 2026

Three UK developments make a proper setup more important than before.

  • All-in pricing is now law. Drip pricing has been banned since 6 April 2025. The CMA fined StubHub UK close to £900,000 on 23 June 2026 for leaving mandatory fees out of the headline price (Cripps).
  • Resale rules are changing. The government has announced plans to cap resale prices at face value plus unavoidable fees. The King’s Speech of 13 May 2026 confirmed a draft bill, so check the current status before you set a resale policy.
  • Event safety duties are coming. Martyn’s Law applies to ticketed events with 200 or more people present, and duties are expected from spring 2027 (Lewis Silkin).

Consequently, your ticket page, fee display and capacity limits now carry legal weight. A platform that handles them well saves you time and risk.

How to Set Up an Online Ticketing System: 8 Steps

Work through the steps in order. This means each one feeds the next.

Step 1: Check Your Licence and Safety Duties

Start with the law, because it sets your capacity. First, selling tickets needs no licence, but your event might.

In England and Wales, alcohol sales, regulated entertainment and late-night refreshment need authorisation. For events with no more than 499 people at any time, a Temporary Event Notice (TEN) usually works. A TEN covers up to 168 hours (GOV.UK).

Timing matters. For example, a standard TEN must reach your council at least 10 working days before the event. A late TEN must arrive 5 to 9 working days before. Above 499 people, however, you need a premises licence.

Next, check Martyn’s Law. In general, events with 200 to 799 people fall in the standard tier. Ticketed events with 800 or more people count as qualifying events with stronger duties. Finally, write down your final capacity figure now, because Step 3 uses it.

Step 2: Choose an Online Ticketing System That Fits Your Event

Pick the platform before you build anything. Instead, compare options on total cost and control, not on the headline fee.

For example, a white-label ticketing platform lets you sell under your own brand. This means buyers remember your event, not the marketplace.

Step 3: Create Your Event and Ticket Types

First, add your title, date, venue, description and a strong image. Then build your ticket types.

Most UK events need three to five types. Common examples include early bird, general admission, VIP, group and concession tickets. In addition, set sales windows so each tier closes on a date or when stock runs out.

Finally, cap your total tickets at your licensed capacity. In particular, count staff, performers and stallholders in that number. Ticmint’s guides cover creating an event and ticket setup.

Step 4: Set All-In Prices That Meet UK Law

Under the Digital Markets, Competition and Consumers Act 2024, your first displayed price must include every mandatory charge. Booking fees, service fees and delivery fees all count.

Genuinely optional extras can appear separately. For example, merchandise, parking or a donation can sit outside the headline price. However, a compulsory per-order fee cannot hide behind a low per-ticket price.

You have two options. First, you can pass fees to buyers inside the displayed price. Alternatively, you can absorb them in your ticket price. Either way, show the total for the quantity the buyer chooses. The CMA can fine businesses up to 10% of global turnover for breaches.

Step 5: Connect Payments and Payouts

First, connect a payment method that accepts cards and mobile wallets in pounds sterling. Then check three details before you go live.

  • Payout timing. Ask when money reaches your bank account.
  • Refund handling. Confirm who pays for refunds and chargebacks.
  • VAT. If you are VAT-registered, confirm how VAT appears on tickets.

As a result, you avoid cash-flow surprises when your supplier invoices arrive before your payout.

Step 6: Build Checkout and Handle Data

Ask for the buyer’s name and email, and collect extra details only when you need them. For example, an access requirements field helps your venue team prepare.

Use registration forms for any extra questions. Furthermore, add a link to your privacy notice at checkout.

UK GDPR and PECR also apply. Use an unticked opt-in box for marketing emails. Similarly, store attendee data only for as long as you need it.

Step 7: Publish and Promote Your Ticket Page

First, publish your event page and test it on a phone. Most buyers will check out on mobile.

Next, share the link everywhere your audience already is. Start with your email list, social channels and venue website. In addition, add tracking pixels so you can see which channels drive sales. Ticmint’s publish and promote guide walks through each option.

You can also recruit partners with affiliate links. Each partner gets a unique link, which means you can track every sale they drive.

Step 8: Plan Entry, Scanning and Refunds

First, decide how people get in before they buy. QR tickets scanned by a mobile app are the fastest option. Ticmint’s validator app scans tickets on phones, and dynamic QR codes regenerate per scan. As a result, screenshot and duplicate tickets get rejected at the gate.

In addition, publish a clear refund and transfer policy. Tickets for dated leisure events are generally exempt from the 14-day cancellation right. Even so, buyers still expect clear rules if you cancel or reschedule. Ticmint explains cancellations and refunds in its support portal.

Finally, run a full test before doors open. For example, buy a ticket, then scan it on the device your staff will use.

In addition, larger events can add on-site sales through the Enterprise platform’s Over-the-Counter feature, which syncs real-time inventory with online sales. For scale, organisers sold 13,062 tickets at the Yonex-Sunrise India Open 2026 on Ticmint (Ticmint, 2026).

Ticmint plans start at ₹249/$19/£19 per month, with transaction fees from 1.5%. You can start free at ticmint.com and publish your first event today.

Common Mistakes When Setting Up an Online Ticketing System

  • Hiding fees until checkout. This breaks UK drip pricing rules and invites CMA action.
  • Selling past licensed capacity. Cap total tickets, including door sales, at your licence limit.
  • Skipping the mobile test. Many buyers use phones, so a clumsy mobile checkout loses sales.
  • Leaving refunds vague. Unclear rules lead to disputes and chargebacks.
  • Collecting too much data. Extra fields slow checkout and raise your UK GDPR duties.

Frequently Asked Questions (FAQs)

1. How does an online ticketing system work?

An online ticketing system works in four stages. First, you create an event and set ticket types, prices and capacity. Next, buyers pay on your ticket page and receive a digital ticket by email. Then the system updates inventory in real time. Finally, staff scan each QR code at the door to confirm entry.

Costs vary by platform and model. For example, some charge a monthly subscription, others take a per-ticket fee or percentage, and some combine both. Under UK law, mandatory booking fees must appear in the first price shown. Therefore, compare total cost across your expected ticket volume. Ticmint plans start at ₹249/$19/£19 per month.

Often the organiser pays nothing upfront while buyers pay a booking fee on top of each ticket. However, that fee still funds the platform. UK rules also require unavoidable fees to appear in the displayed price. Therefore, judge any free plan by the total your customers pay at checkout.

Selling tickets does not need a licence on its own. However, your event might. In England and Wales, alcohol sales, regulated entertainment or late-night refreshment need a premises licence or a Temporary Event Notice. A TEN covers up to 499 people and must reach your council at least ten working days before a standard event.

You do not need to build one. Instead, choose a ticketing platform, create your event, and add ticket types with prices and capacity. Then connect payments, publish your ticket page and share the link. Finally, test a purchase and a QR scan before launch. On Ticmint, you can create an event in minutes.

Since 6 April 2025, the Digital Markets, Competition and Consumers Act has required the first price shown to include every mandatory charge, such as booking, service or delivery fees. Genuinely optional extras can appear separately. The CMA enforces the rule and can fine businesses up to 10% of global turnover.

Yes. Most platforms let you sell online in advance and on the day from the same inventory, which prevents overselling. In addition, Ticmint’s Enterprise platform supports on-site sales through Over-the-Counter, syncing real-time inventory with online sales. Set a door-sales cap so you stay within your licensed capacity.
